How to Add Material to the ECEN Website

Have you read the page about of Guidelines for Adding Material to the ECEN Website? If not, please do so first.

How to Prepare your Material

If possible, please send your material in electronic form. Ideally, send it as an email attachment (or, if it's very short, in the email itself). Alternatively, send it on a computer disk. If you send a written document, it probably won't be put on as the Webmaster only has a limited amount of time!

If possible, please send the file already formatted in HTML code, with the cross links written in. This will save the Webmaster a great deal of time and will ensure that your material is put on the site quickly.

If you can't send an HTML file, a word-processor file is fine,  provided that this is in Microsoft Word, WordPro or Word Perfect.

If your material is meant to be printed off and used - for example, worship resources, then consider providing the material as a Word document or PDF file instead of, or as well as, a web page. Please indicate on which existing webpage the link to this document should be placed, and the title and brief description that should be used.

If you have material you want to add that is in a non-English language, please Contact the Webmaster before sending anything. We are also looking for people who can offer help with translation! For further information about language, see Language Options

We all use different software and computers. In order to be as compatible as possible, our preference is for you to use short file names in a general format of up to 8 letters then a dot and then 3 letters, for example :
abcdefgh.xyz

How to Send the Material

You can email the Webmaster with the relevant files as an attachment to the email, or, if it's very short, in the email itself.

The email itself will also need to state :

  1. the filenames of the files, and what type of file they are and the software they were created in (e.g. HTML file, Microsoft Word 6 file etc.)
  2. what the file or files are about (e.g. "Report on church Local Agenda 21 initiatives in Western Scotland" or "Statements on Climate Change by the United Church of Ruritania")
  3. which part of the ECEN website you want the information to be put on
  4. your written assurance that nothing you have included is confidential information or is subject to copyright or similar restrictions (as a Christian site, we must be scrupulously fair to others about this!), and that you have authority to add this information

We welcome your suggestions about any links you wish to include - either to other pages in the ECEN website, or to pages on other websites.

What Happens Next

When we receive your file, the webmaster will check its format for technical compatibility, allocate the page a space in the relevant section of the site, create the necessary links in other pages, and transfer the files directly into the server for the site. The new or amended page would also be referred to on the What's New? page.

If you don't like the result, then please email the Webmaster!

Sending Amendments or Additions to Existing Pages

If you wish to amend or add to an existing page, send the material in the same way. If it's something very short, it could be sent within the text of the email. If you are suggesting a change to someone else's page, you will need to contact them first, and obtain their written agreement to what you propose.

For example, if your church has a statement about climate change you want to include in the climate change section, you would prepare a file in HTML code, work out what links it would need, and what pages would need to be linked back to it. You should then send it to the Climate Change Coalition Leader, who would check it and send it to the webmaster for inclusion in the site.

What to Do if You've Never Tried this Before!

Putting a file in the right format for a web page is not something to be frightened of! To create a very basic page of text in HTML format is actually quite simple and only takes a few minutes to learn. Your Webmaster strongly encourages you to learn this simple skill!!

Many word processors now have the option to convert a file into HTML format automatically. First save your file normally, then click on "File" then "Save as ... " and then click on "Save as type:" and look through the options to choose the one which says "HTML". This will save your file with a name like "myfile.shtml". You can then add this as an attachment to an email .... BUT ... this will not include any of those clever links to other pages, or links within the page to help the reader to find their way around. You would still need to add these yourself, or tell the Webmaster in the email what links you want put in.

A Word for HTML Experts

For those of you are webpage wizards, may we respectfully ask you to restrain your desire to push the available technology to the limits. Fun as rotating images and sound enhancements may be, we have to assume that quite a lot of people in the network may have slow, old computers only able to run an early version of Netscape with an erratic modem connection. Many will not therefore be able to use Java Script or may struggle with frames, and large images or image maps, and may only have limited colour options. The word is therefore : "Keep it simple!"

One of the functions of the ECEN Webmaster is to help people find their way in this area. We will be pleased to offer advice and assistance. In the long run we hope you can find someone near you who can help you. But if in doubt, email the Webmaster.
